A custom role is useful when several people need the same set of permissions. Be clear about the work it should allow before selecting every checkbox.
This walkthrough is for organization admins using the role manager. A permission defined in a role does not guarantee that every screen exposes that action to that person.
Create a role
- Open Organization Settings and choose Roles.
- Select Create role.
- Enter a clear Name and, if useful, a Description.
- Set Can create projects according to the role's purpose.
- Under Permissions, choose the actions the role needs. Read the groups separately, including work items, Help Desk, administration, and AI.
- Select Create role and review the saved permission list.
Creating a role definition is different from changing a person's base role in Users. Do not assume a new role has been assigned to anyone merely because it appears in the list.
Change an existing role
Choose the role's Edit control, revise its name, description or permissions, then select Save changes. Consider everyone already using the role before removing a permission.
For non-admin members, a custom role replaces the base permission defaults; additional individual grants can add to it. Organization admins retain full permissions.
Remove a role
If Delete is available for the role, read the confirmation before choosing Delete role. People using a removed role fall back to their base role. That fallback may change their access, so review the affected accounts afterward.
The built-in Admin role has no delete control. Do not use role deletion as a way to remove someone from the organization.
